Ditch the static PDF: how schools and PTAs share calendars families actually use

Families

Schools and PTAs across the country are using Agenda Hero to share their calendars with families and the community. Instead of sending a PDF or flyer, they bring every event into one calendar. Families filter it down to what matters to them, like their child's grade or team, and subscribe from Google Calendar, Apple Calendar, or Outlook. When events change or new ones are added, the update comes through on its own.

Why move your school calendar off the PDF?

The PDF might look nice. The flyer might have every detail right. But then what?

A parent still has to read it, figure out which dates apply to their family, and type each one into their own calendar by hand. Multiply that by every family in the school.

The PDF is only one of the places school information lives. The district and school have a calendar. The principal sends a weekly newsletter. The teacher sends updates. Sports events often run through another app. The PTA has its own events and schedule. Picture day, early dismissal, spirit week, and conferences might show up somewhere else entirely.

It's too many places for too much information, and things fall through the cracks.

Agenda Hero brings it together.

  • One calendar: District, school, classroom, PTA, and sports events in one place, instead of five.
  • Filters for every family: Each family sees only the grades, classrooms, and teams that apply to them.
  • On the calendar they already use: Families subscribe from Google, Apple, or Outlook, so they never have to come back to check.
  • Always current: When an event changes or a new one is added, subscribed calendars update on their own.
  • Easy to keep up: Upload the PDFs, flyers, and newsletters you already make, or pull in calendars you already keep.

Schools don't need another place to post information. Families don't need another place to check. They need what the school already shares to land where they manage their lives.

Here’s a PTA calendar and an example of a school newsletter.

How do I share a school calendar with parents in Agenda Hero?

  1. Bring in your events. Upload the PDFs, flyers, or newsletters you already have, paste the text, or pull in a calendar you already keep, like a district calendar or an athletics feed.
  2. Organize them with categories and labels, like district, school-wide, each grade, each classroom, each sport, and JV or varsity.
  3. Pick how the calendar looks, like a month, a list, or cards.
  4. Click Share, turn on Anyone with the link can view, and turn on Send to calendar for Public visitors.
  5. Share the link in your newsletter, on your website, and anywhere families already look.

Publishing a calendar to a public link requires Plus. The Organizations plan adds your school's logo, branded calendar links, calendars shared across your organization, and setup help from the Agenda Hero team.

Tip: Put the link in every newsletter and on your homepage, so families always know where the calendar lives.

Can families see only the events that matter to them?

Yes. Families use filters to narrow the calendar to what applies to them.

Say a parent wants the district dates, the school-wide events, and just second grade in Mrs. Kingsman's class. They filter for exactly that, and everything else stays out of the way.

Or say your athletic department keeps one big calendar for field hockey, tennis, soccer, football, JV, and varsity. Each family filters down to their own teams.

Filters change what families see on the page. A subscription includes every event on the calendar, except any you've hidden.

What happens when the schedule changes?

Families who subscribe get changes automatically. If a game moves or a new event is added, it comes through to their calendar without anyone sending a correction.

Subscribed calendars like Google, Apple, and Outlook refresh on their own schedule, usually within 24 to 48 hours.

Why share a calendar instead of a PDF?

Because a PDF is a snapshot. The moment something changes, it's out of date, and every family is still holding the old copy.

A shared Agenda Hero calendar stays current. You update it once, and the change reaches everyone who's subscribed.

  • Less work for families: No retyping dates, no checking five places.
  • Less work for you: No sending corrections, no fielding "wait, when is that?"
  • Fewer missed events: The calendar families check every day has the right information.

You can still print it. Agenda Hero has printable views for the fridge or the front office, and they update automatically when events change.

Quick questions

Can we add our school's logo?
Yes, with the Organizations plan.

Can more than one person manage the calendar?
Yes. Invite collaborators as viewers or editors. Free includes two collaborators per calendar, and Plus removes that limit.

Can we bring in our district calendar or athletics app?
Yes. Add it as a source using its calendar link. Connecting a calendar link requires Plus. Here's how it works with sports apps.

Do families need an Agenda Hero account to view or subscribe?
No account is needed to view the calendar. Subscribing from Google Calendar requires a free Agenda Hero account.
